Terms of Service
Last updated: October 7, 2026
These Terms of Service ("Terms") govern your access to and use of Findest, a service that reads the attachments of the mailboxes you connect, classifies them with AI, and files them into your own cloud storage according to rules you define ("the Service"). By creating an account or using the Service, you agree to these Terms.
1. Who runs Findest
Findest is operated by Javier Silgo Merino, a self-employed individual (autónomo) registered in Spain, DNI 49836587A ("we", "us", "Findest"). You can reach us at hello@findest.site.
2. What the Service does
You connect one or more mailboxes and one or more cloud storage accounts. For each new email, Findest:
- Downloads the attachments that pass an initial filter (supported formats, up to 25 MB, ignoring tiny images such as signature logos) and stores them temporarily in private, per-user storage.
- Uses an AI model to read each one in full and assign it a descriptive label, a date and other data (e.g. invoice, payslip, contract).
- Evaluates the document against the descriptions of all your rules at once and selects the one that fits best. If none fits, the document is not filed: it stays in your History marked as unmatched, with the reason.
- If a rule matches, renames the file and uploads it to the destination folder you configured in Google Drive, Microsoft OneDrive or Dropbox (and, where your plan allows it, to several of them).
Mailboxes are connected either with an app password over IMAP (any provider that supports it, including Gmail) or with read-only authorization for Outlook / Microsoft accounts. Findest only reads mail: it never sends, deletes or modifies anything in your inbox, and it does not mark messages as read. You can disconnect a mailbox at any time from Connections; where the provider allows it we also revoke the authorization on their side, and otherwise we tell you where to remove it. App passwords are removed by you in your email provider. Emails are checked periodically (about every five minutes), so filing is not instantaneous. See Security for the detail on what each provider grants us.
3. Your account
You must provide accurate information when you sign up and keep your credentials confidential. You are responsible for activity that happens under your account. Tell us immediately if you suspect unauthorized access.
You must be at least 16 years old to use Findest. If you use Findest on behalf of a company, you confirm you have authority to bind it to these Terms.
4. Plans and what they include
Findest offers a Free plan, the paid individual plans Pro and Business, and the Teams plans (Teams Starter, Teams and Teams Plus). What each plan includes (active rules, files filed per month, connected mailboxes, multi-cloud filing, people and clients) is described on the Pricing page and applies from the moment you subscribe. Only documents actually filed count towards the monthly file limit; emails scanned do not. When you reach a limit, new documents above it are not filed until the next period or until you change plan; they remain visible in your History.
Pro and Business are single-user plans for the account holder's own use; sharing one login among several people is not allowed (use Teams instead).
5. Teams plans
A Teams plan lets one company or firm work under a single subscription. The person who subscribes is the team owner; a team is created automatically when the subscription starts.
- People (seats). Each Teams plan allows a maximum number of people on the team (owner, members and pending invitations count; clients do not). The current limits are shown on the Pricing page and in your Plan screen.
- Clients. For firms, the plans also cover clients who connect their own mailbox. A client counts towards the plan limit once their mailbox is connected, not while merely invited.
- The owner is responsible for the team: for inviting only people authorized to see the team's documents, for the permissions given to each member (admin, manager, read-only), for removing people who should no longer have access, and for the payment of the subscription. The plan effective for every member is the owner's.
- Firms and their clients. A firm uses Findest to process documents of its clients. The firm is responsible for having a legal basis and, where applicable, a data-processing agreement with its clients; for those documents the firm acts as controller and Findest as processor (see our Privacy Policy). Rules are defined by the firm; clients cannot create their own rules and see only their own documents.
- Leaving or removal. If a member is removed or leaves, their access to the team's documents ends. If the owner cancels or the subscription ends, the team keeps working on the plan the owner moves to; features and seats above that plan's limits stop working and we will not delete documents already filed in your clouds.
6. Prices, billing and payment
Prices are published on the Pricing page, in euros, and include VAT where applicable (the amount shown is the amount you pay at checkout, with any promotion applied). Paid subscriptions are billed in advance, monthly or annually depending on the period you choose (the annual plan is billed as a single payment for the year), and renew automatically for the same period at the then-current price unless you cancel first.
Payments are processed by Stripe, which acts as merchant of record, collects and remits the applicable taxes and issues the invoice or receipt. Depending on your payment method the charge may appear under Stripe's or its payment brand's name. We never see or store your full card number. We may suspend a paid plan if a payment fails and is not resolved after the reminders from our payment processor, and your account will return to the Free plan.
Promotions. Discount codes are valid only for the plan, period and dates stated, may be limited in duration (for example a number of months), and cannot be combined unless we say so. When a promotion ends, the regular price applies.
7. Price and plan changes
We may change the prices and the content of our plans at any time. Changes apply to new subscriptions as soon as they are published. For existing paid subscribers, a price increase or a material reduction of what your plan includes takes effect from your next renewal, and we will notify you by email in advance (normally at least 30 days) so you can cancel before it applies. The price you have already paid for the current period does not change. If you do not cancel, you accept the new conditions on renewal.
We may also change, add or discontinue features, limits, plan names or the number of people and clients in a plan, and may introduce new plans. Promotional or launch prices are not guaranteed for later periods.
8. Changing plan, cancelling and refunds
You can cancel from your Plan screen at any time. Cancelling stops future renewals; you keep your plan until the end of the period you already paid for and then the account goes to Free. You can undo a scheduled cancellation before the period ends. Plan changes are made from the Plan screen and the amount to be charged is shown at checkout before you confirm. Refunds are governed by our Refund Policy, without prejudice to the rights you have by law as a consumer.
If you downgrade or return to Free, features and limits above the new plan stop being available (for example extra rules, extra mailboxes or additional destination clouds are paused or disabled); your History and files already filed remain.
9. Acceptable use
You agree not to:
- Use the Service to process documents you do not have the right to handle, or that belong to someone else without their consent or another legal basis.
- Attempt to access another user's account, data or connected cloud storage.
- Send content that is unlawful, infringing or that contains malware.
- Interfere with the Service's infrastructure, probe it for vulnerabilities without authorization, or exceed reasonable usage in a way that degrades it for other users.
- Connect a mailbox or cloud account you are not authorized to use, or use the connection for anything other than filing your own (or, in Teams, your team's or clients') documents.
- Resell, sublicense or share your account or the API keys, or use the API or webhooks to build a competing service.
We may suspend or terminate an account that breaches this section, with notice where reasonably possible.
10. Your content
You retain all rights to the documents you send through Findest. We only process them to provide the Service, to classify them and move them to the cloud folder you chose. We do not use your documents to train AI models, and we do not sell or share them with third parties beyond the subprocessors described in our Privacy Policy, strictly to operate the Service.
You can delete your account and all associated data at any time from Settings; deletion cascades to your documents, rules, connections and history, and removes the temporary copies we hold. If you have a paid subscription, deleting the account first cancels it. Files already filed into your own cloud storage are yours and are not deleted.
11. Third-party services
Findest connects to email providers (such as Google, Microsoft and others via IMAP) and to Google Drive, Microsoft OneDrive and Dropbox on your behalf, using the authorization or credentials you provide, and uses third-party processors (see the Privacy Policy). Your relationship with those providers is governed by their own terms. Findest is not responsible for their availability, changes to their APIs or policies, limits they impose, or the security of your account with them beyond the access you explicitly grant us. If a provider changes or withdraws access, a connection may stop working until you reconnect it.
12. Availability, API and changes to the Service
We aim to keep Findest available and reliable, including automatic retries when an upload fails temporarily, but we do not guarantee uninterrupted access or a specific filing time. We may perform maintenance and modify or discontinue features; if a change materially reduces what a paid plan includes, we will tell you in advance by email as set out in section 7. The public API and webhooks are provided as available and may be rate-limited or changed with reasonable notice.
13. Disclaimer and limitation of liability
The Service is provided "as is". Findest uses an AI model to classify documents, and classification can be wrong; that is why documents that do not clearly fit one of your rules are not filed automatically and are left for your review. You are responsible for checking that documents end up where you expect, particularly for anything with legal, tax or accounting consequences. Findest is not a tax, legal or accounting adviser, and the alerts about missing or recurring documents are an aid, not a guarantee that a document is or is not missing nor that a deadline is met.
To the extent permitted by law, our liability for any claim relating to the Service is limited to the amount you paid us in the twelve months before the claim. We are not liable for indirect or consequential damages, loss of profits or data, or for the actions of third-party providers (cloud storage, email, payment processing) we integrate with.
Nothing in these Terms limits liability that cannot be limited under Spanish law, including liability for wilful misconduct or gross negligence, nor your rights as a consumer.
14. Termination
You can stop using the Service and delete your account at any time. We may suspend or terminate access for breach of these Terms, non-payment, abuse, or if required by law. Sections that by their nature should survive termination (ownership, liability, governing law) continue to apply.
15. Changes to these Terms
We may update these Terms as the Service evolves. We will post the new version here with an updated date, and for material changes (including those described in section 7) we will notify you by email before they take effect. Continuing to use the Service after the change takes effect means you accept the new Terms; if you do not, you can cancel and delete your account.
16. Governing law
These Terms are governed by Spanish law. Any dispute not resolved informally will be submitted to the courts of Spain, without prejudice to any mandatory consumer-protection rules of your country of residence that may apply in your favor.
